JOB TITLE: Executive Assistant / Bookkeeper

Job Description

To provide direct support to the owner and serve as primary point of contact for internal and external correspondence. The EA will handle the daily administrative needs and duties and complete a broad variety of administrative tasks. The candidate will need to demonstrate the ability to work independently, be resourceful and forward thinking with the highest level of confidentiality. EA task may include managing active calendar, completing expense reports, arranging travel, preparing correspondence. The EA bookkeeping skills will need to be competent for recording and maintaining a company's daily financial transactions, run payroll, reconcile bank statements and make payments.

Required Experience and Education

  • High School diploma required. Associate's degree in Business Administration or a closely related field strongly preferred.
  • Minimum of (5) years' experience in a professional office environment, with prior experience in either bookkeeping or supporting executives.
  • Excellent proficiency in Microsoft Office, MS Word, Power Point, Excel, Outlook.
  • Strong organizational skills that reflect ability to perform and prioritize multiple tasks

Role and Responsibilities:

EA Duties:

  • Manage and maintain schedules, including scheduling travel and conferences, making appointments, and making changes to appointments.
  • Answering and directing calls, taking messages.
  • Overseeing administrative policies within an organization and within the office; recommending changes as appropriate.
  • Opening, sorting, and distributing correspondence, including email, faxes, and snail mail.
  • Reading and analyzing submissions, letters, agendas, memos and determining significance; routing to appropriate personnel in a timely and efficient manner.
  • Prepare reports, collect, and analyze information; prepare presentations.
  • Record meeting discussions and provide minutes.
  • Maintain inventory and office supplies.
  • Ensure operation of office equipment, order maintenance when necessary. Troubleshoot malfunction of office equipment.
  • Prepare executive responses to routine memos, letters, or correspondence.

Bookkeeping Duties:

  • Provide payroll processing. Provide quarterly tax reports and filing.
  • Manage Accounts Payable
  • Prepare checks for signature and review.
  • Day to Day Management of Accounts, daily cash balance
  • Reconcile Bank Account
  • Prepare monthly financial statements
  • Assist with budget preparation.

Job Type: Full-time

Pay: $28,405.30 - $38,706.43 per year
