DPS Conshohocken is adding a Document Controller / Project Administrator to the team. The Document Control Specialist will be an essential part of the document control team. This person will be assigned to projects and serve as the primary coordination lead. This person will ensure quality assurance, assemblance of package delivery and other administrative tasks as needed in the preparation of DPS deliverables.
Essential Duties and Responsibilities (includes but is not limited to):

• Project Administration
  • Assist with new project set up in contract/resource management system.
  • Schedule and coordinate deliverable workflow between concurrent projects and schedules.
  • Support of project narrative document initial generation, review against quality standards, organization and tracking of engineering deliverables through final formatting, and error checking (Specifications, reports, narratives)
  • Assist project manager and team with administrative tasks to support the project.
• Document Control
  • Initiates and maintains documentation distribution plan and RACI matrix, developed with the Project Manager
  • Coordinate architectural and engineering (A/E) design packages with Project Managers to review composition and timing of deliverables.
  • Work with PMs and Engineering Discipline Leads to compile, QA check and issue design documentation including but not limited to:
    • Phase end reports and design appendices
    • Engineering written specification sections
    • Equipment Procurement Packages
    • Engineering Drawing Packages for review, Permit, Bid or Construction
  • Support project documentation during construction:
    • Coordinate and process project submittals and RFIs to engineering team leads and expedite back to construction team.
    • Maintain Submittals and RFI logs by project.
  • Equipment and Subcontract submittal management and expediting
    • Set up of vendors / subcontractors in documentation system
    • Continuous management of RFIs and submittals review and return to field
    • Maintain RFI/Submittal tracking logs by project.
  • Assists in the coordination of new hire onboarding for the Document Control department

Skills & Qualifications

• 3+ years of related experience; Associate degree or greater preferred
• Previous document control / project administrator experience within the architectural/engineering and/or construction industry preferred

• Excellent verbal, written and communications skills required
• Intermediate experience with MS Office Suite required
• Experience with Deltek, Procore, Bluebeam, Adobe Core Function & ShareFile a plus
• Proactive, deadline driven in completing tasks and meeting deadlines
• Strongly motivated, well organized, and shows professional initiative
