Position Overview:

This position requires excellent communication, organizational and interpersonal skills to collaborate with clients/internal teams and to coordinate and track project activities, opportunities, and risks. The Project Manager will work closely with the PMO Lead to prepare comprehensive action plans, including resources, timeframes and budgets for projects. You will perform various coordinating tasks, like schedule and risk management, along with administrative duties, like maintaining progress reports, collecting milestone signoffs, and updating PMO of significant changes made by the Project Manager or Steering Committee.

The Project Coordinator acts as a liaison between the Customer’s Project Team and our internal teams whilst serving as a subject matter expert within the project team, providing best practices, defining/analyzing gaps and recommending solutions to the Project Team. The Project Coordinator will liaise and work alongside our Programming and Product Specialist teams to validate functionality, specifications, software modifications meet specifications, and ultimate delivery of these solutions to the Project.

100% Travel, domestically and internationally, is required where Airlines operate or are based.

Key Responsibilities:

General Responsibilities Include, But Are Not Limited to :

  • Responsible for seeing the Implementation Project through to its ultimate and successful completion regardless of its duration or any other factors, including, without limitation, ensuring successful and timely delivery of all deliverables and successful and timely completion of all tasks (regardless as to who at the Company was actually assigned to deliver the deliverables and/or complete the tasks);
  • Communicate frequently with the PMO to ensure that the appropriate Company personnel and resources are available or reserved as required, progress reports and adherence to deliverable timeline to ensure the overall success of the Implementation Project;
  • Act as the point of contact and communicate the project status to relevant stakeholders. Communicates timeline changes and new information to PMO & internal teams.
  • Communicate clearly with the Project Manager & Project Team to identify and define project requirements, scope, objectives and priorities
  • Ensure that project requests, project issues and questions are addressed, completed on time, and accepted in writing by Customer
  • Acts as a catalyst to remedy project issues and conflicts, engaging the assistance from management, whenever necessary, to resolve issues.
  • Provide lessons learned / recommendations to project team
  • Immediately relay to the PMO any potential pitfalls of detrimental decisions made by Project Manager or Steering Committee that may impact the success or timeline of the Implementation Project; and
  • Adhere to budgets by monitoring expenses and implementing cost-saving measures
  • Creates and maintains comprehensive project documentation, plans and reports. Ensures all needed documentation is current and properly filed and stored.

Software Configuration and Set Up With Customer SMEs:

  • Collaborate with other subject matter experts within the Customer’s organization to define how the software is configured to meet Customer processes, features, and functionality. Assist in the definition of system codes, lists and master data tables and system settings, etc.
  • Assist the project team and other subject matter experts to process, validate and accept data that is migrated into the system. The Project Coordinator shall advise and assist in the validation of migrated data with the Customer’s subject matter experts. To this end, the Project Coordinator needs to communicate and/or follow up with the Project Manager & update the TRAX PMO on any data migration issues and changes reported
  • Train and mentor the designated application “Administrator” assigned by the Customer, including, Security management, software configuration, WebLog & Release Management, and how to submit change requests and software modification specifications.
  • Coordinate and conduct the training of the subject matter experts or “super users” assigned to the application
  • Ensure that training assessments are accomplished to gauge the effectiveness of the training provided by the Project Coordinator
  • Provide support and recommendations in the definition of the training plan for end users
  • Assist and provide recommendations to the Project Team on the development (or update) of process documentation to ensure that the process documentation follows the functionality of the software.
  • Assist and support the Project Team in the integration of interfaces, performance of user acceptance testing (“UAT”), and advanced “super user” training (“train the trainer”)
  • Manage software modifications and software issues, and train the Administrator to log in requests, issues and questions via the WebLog Management System
  • Notify the project team when software modifications or upgrades that deliver requested modifications are available
  • Communicate the status of pending software modifications, software issues and new features to the team developing/updating the process documentation
  • Assist and provide recommendations to the project team of the development progress of program interfaces, including, assisting the subject matter experts in the development of specifications for the creation of required interfaces
  • Attend, if invited, the Customer’s steering committee meetings or other Integration Partners (E&Y, Accenture, PWC, etc.) meetings where updates on the progress of the Implementation Project are requested.
  • Assist during post-go live (“system cutover”) to provide support up to but not limited to supporting end users.
Requirements:

Qualification Requirements:

  • PMP Certification and knowledge/experience in similar ERP projects
  • Bachelors in Business Management or related discipline with at least 2-3 years’ experience, or, at least 5 years equivalent experience is required
  • PMP Certification and knowledge/experience in similar ERP projects.
  • Proven work experience as a Project Coordinator or similar role integrating software solutions in similar industries which for aviation includes:

o SAP Aircraft M&E

o AMOS (Swiss-AS)

o RAMCO

o IBM Maximo

o IFS/Maintenix

o Oracle Complex MRO

  • An ability to prepare and interpret process flows, flowcharts, schedule deliverables and develop action plans
  • An ability to learn quickly technical applications, proven to subject matter expert for similar software applications
  • Solid organizational skills, including multitasking and time-management
  • Strong customer service and teamwork skills
  • Familiarity with software quality assurance control to ensure deliverables meet Customer specifications
  • Documentation management and ability to use project management tools, including competency in documentation tools that capture Event Driven Processes: Interfacing.com’s EPC Toolkit or similar.
