Position Summary:

The primary role of this position is to serve visitors and customers by greeting, and/or providing them with information. They will also notify personnel of visitor arrival. Requires telephone etiquette when answering incoming phone calls for both entities and directs call appropriately.

Essential Duties and Responsibilities:

ROLE AND RESPONSIBILITIES

• Welcomes visitors by greeting them in a friendly manner and directing them appropriately or providing information in a manner that quickly and accurately answers their inquiry.
• Maintains telecommunications system by adhering to procedures and by reporting issues to the appropriate source in a timely manner to avoid disruption.
• Maintains a clean reception area and ensures safety by following procedures and protocols.
• Maintains security by following procedures.
• Documents any issues pertaining to security or safety in the building or on the grounds, if applicable.
• Send and receive any faxes, emails, or documents of communication that are received or sent by the

Director’s Office.

• Main accurate and current phone extension and employee lists and keep updated.
• Assists the Executive Director as needed with copies, ordering office supplies or food for BOD meetings.
• Manages meeting schedules.
• Making arrangements for meetings and travel.
• Assist with technical setup for virtual meetings.
• Other duties as assigned.

SKILL REQUIREMENTS

• Must be personable and friendly.
• Must be familiar or able to familiarize self with multiple phone line systems.
• Must maintain a professional office demeanor during working hours.
• Reliable and punctual.

EDUCATION/QUALIFICATIONS
High school diploma or GED preferred.
Diploma/Certificate in clerical or office.
One year of working in an office environment is preferred.

PREFERRED SKILLS

Must have computer knowledge in software programs such as word, excel or Microsoft office.
