Job Title: Alumni/Administrative Coordinator

Reports to: Gillette College Foundation Executive Director

Job Summary

The Administrative/Alumni Coordinator is a full-time position that functions as an essential executive-level administrative support staff to the Gillette College Foundation. As executive-level administrative support to the Executive Director, outstanding community relations and organizational skills are a requirement of the position. Duties include managing events and participation in fundraising campaigns and donor relations activities, alumni development, coordination of alumni events, and communication correspondence from the Foundation office. This position reports directly to the Gillette College
Foundation Executive Director.

Essential Duties and Responsibilities

  • Executive office support includes serving as the receptionist for the Foundation Office.
  • Must consistently demonstrate professional communication standards and maintain confidentiality.
  • Prepare and disseminate information packets and record the proceedings for all Foundation Board Meetings.
  • Donor information entered the database system for the Foundation
  • Create and disseminate annual donor reports
  • Execute and organize events and work with volunteers supporting the activities
  • Assist in the development and ongoing management of an Alumni Program with direction from the Foundation Executive Director
  • Work with College and other resources to expand and maintain an accurate alumni database in coordination with the Foundation Office Manager
  • Communicate with the alumni pool on a regular basis
  • Cultivate alumni to become future donors
  • Manage all alumni events
  • Generate weekly program reporting for the Foundation Executive Director and monthly report program reporting for the GCF Board of Directors
  • Manage the election process for the yearly Distinguished Alumni program
  • Plan and manage all social media communication
  • Provide updated and current information to assist with ensuring the website is up to date
  • Develop and manage a Foundation/Alumni newsletter
  • Assist with fundraising events as needed
  • Other duties as assigned by the GCF Executive Director
  • Occasionally direct the work of volunteers
  • Participate in training as appropriate for assignments
  • Proficient with the software systems used in the Foundation’s operations which are Blackbaud’s Raiser’s Edge (donor database), Microsoft Office including Word and Excel
  • Other duties as assigned

Working Conditions/Physical Requirements

  • Prolonged periods of sitting or standing at a desk
  • Consists mostly in an office environment
  • Short periods spent outdoors due to traveling between campus structures in various weather conditions
  • May be required to lift objects in excess of 10 lbs.
  • Travel may be required for work-related activities

Supervisory and Management Responsibility

  • None

Minimum Qualifications

  • Associate’s degree required, bachelor’s degree preferred.
  • One year of experience in communications, marketing, or event management required
  • Equivalent combination of education and experience will be considered
  • Gillette College alumni preferred, but not required

Job Type: Full-time

Pay: $16.39 - $24.49 per hour
