Job Description :

RAM Construction Services is looking for a Construction Administrative Assistant for our Grand Rapids, MI location. This candidate should be able to multi-task with excellent communication skills and have an upbeat attitude.

In this role, you will primarily provide support to the Director, Estimators, Project Managers & Superintendents in attaining the project goals which include coordinating and accomplishing the administration of various clerical requirements for the projects. This will consist of preparing expense reports, ordering & review bid documents, prepare bid forms, proposals, and subcontracts. Assist Project Managers with the overall project life cycle including the preparation of submittal packages. Working in a fast-paced, collaborative environment, this individual will utilize various PC applications such as Word, Excel, PowerPoint, Outlook, and Procore to meet the position’s requirements. The position requires professional, courteous conduct and excellence in customer service delivery.

Office Hours: 8:00 am - 5:00 pm

Responsibilities:

  • Provides administrative support to office staff as needed
  • Prepare expense reports
  • Order bid documents (drawings, specifications), review bid documents, order bid bond/payments performance bonds, and prepare & complete bid forms.
  • Prepare proposals and subcontracts
  • Process contracts/purchase orders
  • Order and review insurance requirements for projects
  • AIA Billings- provides detailed information on the progress of the job
  • Set up and maintain project files (spec sheets, insurance)
  • Keeping track of when recurring reports are due and meetings are scheduled
  • Construction data entry
  • Compose and/ or edit and distribute letters, memos, reports, and other departmental correspondence in a timely manner
  • Answering the phones, filing, sorting mail, overnight mail
  • Prepare travel arrangements
  • Deal with confidential and proprietary information on a regular basis- must be able to exercise discretion and maintain confidentiality
  • Complete any special assignments, manage time, monitor progress, and adjust plans
  • Regularly interacts with all company staff independently and on behalf of the department
  • Other duties as assigned by the management

Recommended Qualifications:

  • Minimum of a High School Diploma or equivalent. Associate degree in office administration preferred
  • Minimum 3-5 years of experience in construction administration a plus
  • Familiarity with construction processes and communication
  • Proficient with Microsoft Office Suite, including Word, Excel, PowerPoint
  • Knowledge of Procore construction management software is preferred, but not required
  • Ability to prepare reports and communications
  • Professional and courteous demeanor with a commitment to excellence in customer service
  • Ability to use discretion and maintain confidentiality and proprietary and other information
  • Excellent verbal and written skills
  • Ability to multi-task and to work under time constraints and other stresses

Pay: $55,000.00 - $60,000.00 per year
