Who You Are

We’re looking for a warm, friendly Customer Care Admin who will ensure that our customers have a successful and enjoyable homebuilding journey. In many cases you will be the first person our potential customers interact with, so it is important that you have experience in customer service. You will be responsible for providing administrative support to our Customer Care department, which includes general receptionist duties as well as sending cards, compiling customer gift baskets, picking up customer lunch orders, and basic cleaning tasks. Ideally, you will enjoy having variety in your day, be open to learning new systems and processes, and feel a great sense of accomplishment when completing your daily tasks with excellence. The ideal person will also have a good understanding of Outlook, Adobe Acrobat, Microsoft Word, and Excel. You will work closely with the Customer Care department to ensure that every customer has a seamless homebuilding experience and feels like they are part of our Rock River family.

This role will work from 7:30AM – 4:30PM EST in our Jetersville, VA office.

What You Will Work On

  • Greet and assist guests (including customers, vendors, subcontractors, and delivery drivers)
  • Provide administrative support to our Customer Care team
  • Answer incoming telephone calls, direct to appropriate parties, take and deliver messages when parties are not available
  • Clean and restock office common areas, lunchroom, conference room, and bathrooms daily
  • Schedule monthly professional cleaning of the office
  • Check and maintain swag inventory
  • Email customer surveys and google review requests
  • Administrative tasks such as document creation and editing in Microsoft Word, inventory counts and supply orders, compiling data in Excel spreadsheets, and scheduling meetings
  • Run occasional errands to pick up customer lunches, gift baskets, office supplies, and groceries
  • Distribute mail and incoming packages
  • Help plan and execute all company events including monthly employee breakfasts, quarterly employee celebration events, offsite leadership meetings, and employee send-off lunches
  • Order gifts and write cards for employees, past and current customers, and vendors
  • Ship and track shipments via UPS as required
  • Scan, copy, print, fax, and collate materials for employees as requested
  • Perform additional tasks as directed

Qualifications

  • Must have a friendly “people person” disposition and be able to connect with customers
  • Advanced knowledge of Microsoft Word, Excel, Outlook, and Adobe Acrobat
  • Experience with homebuilding and software systems such as MarkSystems is a plus
  • A minimum of 5 years in administrative or customer service roles
  • High level of writing and editing skills to include exceptionally accurate spelling and grammar
  • Strong analytical and problem-solving skills
  • Capable of managing multiple, simultaneous projects
  • Experience presenting reports, forecasts, trends, and recommendations in a clear, concise, and actionable manner
  • Adaptability and technical acumen to learn a variety of software programs
  • A high level of accuracy when working with data entry and attention to detail
  • Excellent communication skills
  • Willingness to learn and adapt to working on a team in a fast-paced environment
  • The ability to multitask and self-manage your workday
  • The ability to pass a drug screening

The salary range for this position is $35,000-$40,000. Actual compensation will be based on multiple factors that are unique to each candidate, including and not limited to skill set and level of relevant experience.
