Job Description :

Specific Duties

  • Always maintain professional conduct and integrity of SHARED VALUES.
  • Maintain the confidential nature of records which are not open to public disclosure.
  • Provide all internal and external administrative support.
  • Maintain and monitor all employee records (soft and hard copies).
  • Upkeep compliance on all employee files and HR related items.
  • Manage and develop the recruitment process of identifying candidates.
  • Coordination of all onboarding and off boarding for employees (interview scheduling, reference checks, criminal history checks, child abuse clearances, additional correspondence, receipts, and confirmations.
  • Accountable for onboarding efforts by performing such tasks including the collection and review of documentation, process photo id cards, enroll new hires in ADP system and all data repositories in a timely manner, create personnel file, support orientation meeting.
  • Process all employee data i.e., new hires, transfers, performance awards, promotions, demotions, resignations, terminations, leaves of absence, suspensions, and additional personnel actions.
  • Update provider monitoring databases (dates of hire and separations, leave request, resignations, promotions, disciplinary actions, and driver’s license compliance etc.).
  • Complete HR documents for disciplinary actions and terminations. Conduct exit interviews.
  • Serves as the liaison for employee grievances and other HR related matters.
  • Processes payroll and payroll corrections in a timely manner.
  • Manage, monitor, and distribute staff contact list, staff leave report and active/in-active employee list.
  • Provide orientations for new employees by facilitating training of company overview, policies and procedures, onboarding packages and employee standards of conduct.
  • Facilitate and coordinate training sessions and seminars.
  • Ensure all employees are in compliance with training.
  • Monitor performance management evaluations.
  • Compile notices to supervisors for upcoming employee evaluations and training recertification reminders on a monthly basis.
  • Provide information including new hires, promotions, and anniversaries to the department for monthly newsletter/updates.
  • Prepare and complete all written requests for verification of employment (mortgage, employment, welfare, childcare, garnishment, etc.).
  • Learn and utilize payroll and data repository systems. Ensure appropriate monitoring and updates on systems.
  • Prepare reports for internal communication, auditing and forecasting purposes.
  • Supports multiple human resources functions, including recruiting, employee/labor relations, compensation, benefits, training, compliance, equal employment opportunity, ADA compliance, and/or employee records.
  • Serves as a point of contact for benefit vendors and administrators.
  • Manage all agency accounts (receivable and payable). Ensure all invoices balances are current and logged on the tracking spreadsheet.
  • Reconcile company accounts each month
  • Ensure all receipts are completed and stored for accounts receivable and staff receipts
  • Manage documentation upkeep of client funds
  • Communicate with accountants for updated documentation.
  • Ensure all client files are filed and stored appropriately.
  • Participate in at least 24 hours of training annually.
  • Correspond with client families as needed.
  • Assist in pickups for client files and progress notes.
  • Answer all emails and phone calls daily.
  • Maintains calendar for HR management team.
  • Maintains minutes for meetings.
  • Coordinate scheduled full staff meetings including meeting set ups and pickup of supplies needed.
  • Maintain accurate documents for unemployment and file unemployment documents to the correct parties.
  • Maintain office cleaning and upkeep of all office spaces including sanitization, kitchen cleaning, trash takeouts and upkeep of any shared spaces in the office.
  • Keeps up to date with the current HR regulations and best practices.
  • Participate in company audits
  • Attend unemployments hearings

Qualifications

  • BA Degree in Human Resources, Or equivalent field required.
  • Hands on experience with HR software, Paychex preferred.
  • PC literacy and experience with MS Office applications. Excellent organizational and time-management skills, Excellent communication, and people skills.
  • Strong decision-making and problem-solving skills.
  • Robust organizational and time management skills.
  • Understanding of Pa Labor Law

Job Type: Full-time

Pay: $60,000.00 per year
