Operations Manager – Job Description

This position supports the overall functioning of the company and works together with the Billing and Accounts Receivables departments to ensure maximum revenue recovery for our clients within the framework of compliance. The Operations Manager is supervised by the President and serves as a part of the Pintler Billing Services Leadership Team whose function is to determine company policy, monitor workloads and facilitate hiring staff as necessary (with assistance), while overseeing the efficient and effective cooperation of all the departments.

Specific duties include:

HR/Staffing management

  • 401(k) management - work with the vendor to monitor and facilitate enrollments and complete other necessary updates, disseminate information to staff, etc.
  • QHSERA - monitor benefit utilization and manage deployment (assist staff with accessing this as necessary), work with vendor to manage plan as needed
  • Interface with other benefits vendors as needed (ex. Aflac, Foster’s Fitness, Costco)
  • PTO management (review and approve leave requests, managing absences, etc.)

Personnel management

  • Staff supervision and coaching
  • One-on-one meetings with staff on a regular schedule
  • Develop relationships with staff and maintain communication to monitor job satisfaction, workload, and other concerns regarding the workplace
  • Respond to questions and provide advice and guidance on general performance and skills
  • Provide feedback about performance to staff, and also communicate this information up the chain of command with detailed reports
  • Monitor and oversee remote workers
  • Ensure appropriate technology for effective work (work with IT contractor and vendors to maintain continuity of productivity for remote workers)
  • Measure and monitor productivity and performance of remote staff (work with department managers)
  • Promote personal connections with on-site staff and maintain frequent communication
  • Monitor and promote training and professional development opportunities
  • Identify areas for improvement (collaborate with Leadership Team)
  • Identify available trainings and learning opportunities and communicate with leadership to implement these for staff
  • Coordinate training/conference travel plans and registration as needed
  • Office party/function/pictures/bonding planning and execution
  • Hiring duties
  • Post and facilitate advertisement of open positions
  • Initial screening of applicants and set up interviews (time coordination, etc.)
  • Participate in interviews with Leadership Team
  • Call references to vet applicants, initiate and facilitate background checks
  • Notify applicants of decisions
  • General onboarding of new staff

Participate in Leadership Team meetings

  • Attend all Leadership Team meetings
  • Provide data and feedback pertinent to topics discussed
  • Bring suggestions and feedback from staff for discussion
  • Assist in rolling out policies and procedures determined at meetings back down through staff communication and training

Client interface and management

  • Create and send client statements & month-end reports (once monthly)
  • Run and send reports for special arrangements with clients as needed
  • Process & post ACH payments for clients (once monthly)
  • Post and prepare physical deposits from client payments throughout month
  • Point of contact for general client updates; maintain client records and changes
  • Board member changes
  • Updates to email addresses
  • Fee schedule updates (may coordinate w/Billing manager)
  • Maintain Client Spreadsheet information
  • Escalate questions or requests as needed

Other duties as assigned

Starting wage: $20/hour, DOE

Schedule: Full-time M-F in person

Experience required: 1 year minimum management or supervisory experience, excellent teamwork and collaboration skills with demonstrated ability to work with various programs and personalities, 3 year minimum general office experience. Experience with HR, QuickBooks, and managing people is preferred.
