Job Description Summary

The Plant Administrative Assistant is responsible for providing general office support functions and works closely with all departments to ensure administrative-type functions are not overlooked and the overall office environment is maintained. This position will help coordinate plant activities, perform receptionist duties, and assist with other departments as needed.

Under general supervision, this role will also perform a variety of human resources support duties related to personnel functions and programs including in the areas of payroll, workers compensation, maintaining employee records and files, and assisting in informing new employees of HR policies and programs.

Lastly, this role is responsible for providing on-going support to the materials and finance department to satisfy internal and corporate reporting requirements.

Essential Duties and Position Responsibilities

  • Performs general office support functions and works closely with all departments to ensure administrative-type functions are not overlooked and the overall office environment is maintained.

  • Assists with the coordination of corporate or visitor functions, including but not limited to meetings/lunches, conference calls, transportation services, restaurant reservations, etc. as needed.

  • Maintain site phone and photo directories.

  • Assist with the site purchasing card and expense reporting.

  • Ensures that lobby and conference areas are kept tidy and have a professional appearance.

  • Responsible for processing and distributing incoming and outgoing mail and deliveries, including but not limited to maintaining office mailboxes and assisting with miscellaneous mailings as needed.

  • Responsible for ordering and maintaining all kitchen and office supplies within Company purchase guidelines, including vending machine, coffee service, and first aid supplies.

  • Perform other related duties as required

  • Maintain “BUYSMART” purchasing site

Performs a variety of human resources support duties including but not limited to:

  • Coordinates site payroll activities, including ADP eTime payroll processing (audit, edit and sign-off for processing), prepares call-out and attendance reports, processes one-time payment requests, performs historical edits for timesheets, troubleshoot payroll issues, and maintain time off balances.

  • Provides coordination of new employee on-boarding, including but not limited to I-9 processing, ADP training, badge creation, orientation, new employee orientation and workspace preparation.

  • Maintains site job descriptions and organization charts.

  • Maintains site personnel files.

  • Plans Company events including Employee Meetings, monthly birthday celebrations, and various teambuilding activities/events.

  • Provides general clerical and administrative support; composes and types letters, memoranda, and other correspondence related to assigned human resources programs and activities.

  • Prepares a variety of reports including technical reports and status reports pertaining to human resource management programs and activities.

  • Answers questions from employees regarding human resources issues, rules, and regulations relating to human resources management; respond to employment verification requests, salary and benefit surveys, and other requests for information.

  • Special projects as assigned.

Performs a variety of plant and financial support duties including but not limited to:

  • Assist in all activities related to the processing and payment of invoices and expense reports, including but not limited to:

    • Verify receipts of goods or services

    • Review coding of invoices.

  • Assist in investigations and resolutions for billing discrepancies with vendors.

  • Assist with semi-annual physical inventory.

  • The ability to work overtime, as requested, particularly during the month and year-end close as well as during budget season.

Qualifications, Knowledge, and Skills Required:

  • High School diploma or equivalent.

  • Minimum of two (2) years recent experience in corporate administration.

  • Industry experience preferred.

  • Human Resources administration experience preferred.

  • Strong interpersonal, written, oral, communication, organizational and planning skills.

  • Excellent computer, office equipment, and standard office procedure skills.

  • Places primary importance on delivering superior customer service.

  • Ability to multi-task and reprioritize tasks throughout the day.

  • Effective problem solving/resolution skills

  • Ability to work efficiently and independently

  • Proficient in the analysis and reconciliation of financial data
